Writing Symphony User Agreement

Writing Symphony provides supplemental writing and public speaking instruction. Writing Symphony is not a daycare or childcare service, and parents or guardians are responsible for their students outside of scheduled class instruction.

Class Access

Students should not log in to their virtual classroom more than 5 minutes before the scheduled class start time.

Students will use a Microsoft Teams account provided by Writing Symphony for class meetings. These accounts are created and managed for class use. By enrolling, parents or guardians give permission for a Microsoft Teams account to be created for their student and understand that student information associated with the account is used for educational purposes.

Parents and guardians are responsible for managing their student's access to the virtual classroom and ensuring that the student can log in successfully before class.

Technology & Internet Access

Parents and guardians are responsible for ensuring that their student has:

• A stable internet connection
• A functioning device
• Access to their Writing Symphony Microsoft Teams account
• The ability to log in before the scheduled class begins

Writing Symphony is not responsible for technical issues caused by a student's device, internet connection, or inability to access their account.

Classroom Expectations

Students are expected to participate respectfully and follow all classroom guidelines provided by their instructor. Students should treat their teacher and classmates with respect and participate appropriately during class.

Parent & Student Communication

Parents and guardians are responsible for communicating anticipated absences, technical issues, scheduling concerns, or other relevant information to Writing Symphony in a timely manner.

If a teacher has not arrived within 5 minutes of the scheduled class start time, the student should notify a parent or guardian. The parent or guardian should then contact Writing Symphony Support at support@writingsymphony.com.

Effective September 1, 2026

We understand that illnesses, emergencies, and schedule changes happen. Our goal is to provide flexibility when possible while maintaining consistency for all students and their classes.

If Your Child Will Miss a Class

When possible, please notify Writing Symphony at least 24 hours in advance if your child will be absent.

Semi-Private Classes

· Semi-private classes include 2 students learning together with 1 instructor. If a student is absent, a recording of the class will be provided so they can stay up to date with the material.

· Homework remains due as scheduled. The teacher will review the student's work and provide guidance to help ensure they understand the week's objectives and concepts.

Private Instruction

Private instruction offers additional scheduling flexibility. When advance notice is provided, Writing Symphony may be able to extend the student's class end date by one week to allow time to complete missed material.

If We Are Not Notified in Advance

A makeup lesson or class extension may not be available when advance notice is not provided. For semi-private classes, a recording will be provided when available.

Unexpected illnesses and emergencies may be considered on a case-by-case basis.

Changing Your Child's Regular Class Time

Semi-private classes include 2 students who progress through the curriculum together, so families commit to their scheduled class time when enrolling.

If your child needs a permanent schedule change:

• We will first look for another semi-private class at the same level and point in the curriculum.
• If a compatible class is not available, private instruction at the applicable private lesson rate may be available.
• A schedule change does not guarantee placement in another semi-private class.
• If a student leaves a semi-private class, the remaining student will continue at their original class time while we work to fill the opening with another appropriately placed student.

Please choose your child's regular class time carefully when enrolling.

If the Teacher Misses a Class

If a teacher is unexpectedly unavailable, we will:

• First, make every effort to provide a substitute teacher.
• If a substitute is not available, we will try to arrange a makeup session during the same week.
• If neither option is possible, the class end date will be extended by one week so students receive all scheduled instruction.

Writing Symphony Class Recording Policy

Writing Symphony classes may be recorded for internal educational, quality control, and student safety purposes.

Recordings help us support instruction, review class quality, address technical or classroom concerns, and maintain a safe and positive learning environment.

Internal Use Only

Class recordings are intended for internal Writing Symphony use only. They will not be used for advertising, marketing, social media, or other public purposes.

Recordings may include the student's image, voice, name, participation, and classworkas they appear during the live class session.

Parent/Guardian Consent

By enrolling in Writing Symphony, I acknowledge that my student's class may be recorded for the internal purposes described above. I understand that these recordings are not intended for public distribution or promotional use.

Writing Symphony will use class recordings responsibly and only for the purposes outlined in this policy.
